Internal Sharing

What are System Permissions? 
System level permissions govern a base level of access for an individual user. The roles and permissions available are explained in Understanding Default Roles.  Reprise comes with 3 default roles (Admin, Builder, and Viewer) but custom roles can be defined separately. You can also create groups and apply these system level roles to them. 

What is Internal Sharing?
With Internal Sharing, you can set permissions at the individual demo level or folder level that allow users to set visibility (e.g. whether a demo or a folder and the demos within are visible to all, or private) and also share specific permissions with specific users or groups as collaborators. 

Demo and Folder Internal Sharing uses simplified roles to allow Demo owners to add collaborators and assign specific permissions to them. Demos or Folders can also be set to Private which means they are only visible to others if explicitly shared.

Effective September 4, 2024: We simplified our sharing permissions: demo and folder access no longer exceeds your account-level permissions. As a result, users with Owner permissions for a demo or folder were automatically adjusted to their maximum level of access at the Account level.

For example, someone who had Owner permission for a demo and could publish demos through their Account-level access became a Publisher at the demo level, while those without Account-level publishing permissions may have become an Editor or Viewer.

If a user had Account-level publishing privileges and the ability to rename, delete, and share demos or folders, there was effectively no impact.


How does System Permissions and Internal Sharing work together? 
Demo and Folder internal sharing work in conjunction with system roles allowing fine- grained control over access. Demo and folder access can not exceed your system permissions. 

Example:
If you’re a builder in system permissions, but a user shares a demo with you at a “viewer” level, you won’t be able to edit that demo.  

If you want to share a demo or folder with a user and don't see all of the options (Viewer, Editor, Publisher), it's because that user does not have enough permissions at the account level.

How does Folder Sharing Work? 
Folder sharing allows a user to share folders with users or groups and specify a level of permissions for those groups. This allows for internal sharing to be more easily managed in bulk, since folder permissions will carry over to the demos within the folder. 

How does Folder Sharing Work with Demo Sharing? 
Folder Sharing and Demo Sharing work together so that sharing on an individual demo and sharing at the folder level are combined. 

Example: 
Paul has 10 demos in a folder and shares that folder with Ben granting him Viewer access. Ben can now view those demos. 

Paul then decides that he wants Ben's help to edit one of the demos in the folder and shares that specific demo with Ben as an Editor. Ben will still be able to View the other 9 demos, but will have additional Editor permissions for the specified HTML Environment.

How to share individual Demos (Draft or Published): 

1. Navigate to your demo and click the 3 little dots that say more actions

2. Press Share

3. Add the users/groups you want to share it with

4. Set the permission role by clicking the drop down next to the user/group. If you don't see all of these options it's because the user does not have enough permissions at the account level.
